3. Information We Collect
We collect personal information only for legitimate business purposes and only to the extent necessary to provide our services. The categories below reflect the typical information we collect, but this list is not exhaustive, additional information may be collected based on what you choose to share with us, including during sessions or in conversation.
3.1 Identity and Contact Information
Full name, email address, phone number, general location, date of birth.
3.2 Health and Wellness Information
Physical, emotional, psychological, and spiritual symptoms or blockages you disclose to us. Current medical conditions and medical supervision status. Current prescription and non-prescription medications. Previous experience with energy medicine or alternative therapies.
3.3 Business Information (Coaching Clients)
Business name, description, and offer. Business goals, revenue information, and growth challenges. Previous coaching or mentorship experience.
3.4 Session Information
Session recordings (audio and/or video via Zoom). Professionally produced audio recordings of meditative journeys. Personal session notes made by Jaleen Starratt during and after sessions. Intake form responses.
3.5 Communications
Email correspondence between you and Elemental Frequencies. WhatsApp messages exchanged as part of certain programs that include direct messaging access. Any written communications submitted through our website, contact form, or booking platform.
3.6 Booking and Payment Information
Appointment booking data. Payment transaction data processed through Stripe and PayPal. Billing information as required to complete transactions. Your device’s timezone, detected automatically at the time of booking so that confirmations, reminders, and session times display correctly in your own local time.
3.7 Website Activity
IP address and browser type. Pages visited and time spent on our website. Referring URLs and website navigation data. First-party, cookieless-where-possible analytics, including anonymized click coordinates and scroll depth used to understand how visitors interact with our pages.
3.8 Blog Account and Community Information
If you create a blog account, we collect your chosen display name, uploaded profile picture, comments and reactions you post, and your points/rewards activity. Comments, reactions, and your chosen display name are publicly visible to any visitor of our website, this is not private data, and you should not include personal information in public comments you would not want publicly visible.
4. How We Collect Your Information
Intake forms completed prior to booking a session. Zoom sessions (recorded with your prior consent). Email and WhatsApp communications. Website activity and first-party analytics. Booking, scheduling, and blog account creation through our website. Payment processing through Stripe and PayPal. Direct correspondence with Jaleen Starratt.
5. How We Use Your Information
To prepare for and deliver sessions tailored to your specific needs. To maintain accurate session notes and records for continuity of care. To communicate with you before, during, and after your sessions. To send post-session follow-up emails, integration recommendations, and homework/success plans. To process bookings and payments securely. To operate the blog comment, reaction, and points/rewards program. To send marketing communications where you have provided consent (you may withdraw consent at any time). To comply with applicable legal obligations. To improve our services based on aggregate, anonymised feedback.
We do not use your personal information for any purpose beyond what is described in this policy without your explicit consent.
6. Sensitive Personal Information
We collect health-adjacent and wellness-related information you share with us. This information is considered sensitive personal information under PIPEDA and PIPA and is treated with the highest standard of care.
This information is collected solely for the purpose of preparing for and delivering your session, accessible only to Jaleen Starratt, never shared with third parties without your explicit written consent, and stored securely and separately from general contact information where possible.
By sharing this information with us, you consent to its collection and use for the purpose of your session only.
7. Session Recordings
Sessions conducted via Zoom may be recorded for the purpose of providing you with a session recording as part of your service package. By booking a session you consent to the recording of your session.
Session recordings are stored securely, shared with you directly via a secure link or file transfer, not shared with any third party without your explicit written consent, and retained per our data retention practices below.
8. Disclosure of Your Information
We do not sell, rent, trade, or otherwise disclose your personal information to third parties except in the following limited circumstances:
8.1 Service Providers
We work with the following third-party platforms to operate our business. Each operates under its own privacy policy and data protection standards: Stripe and PayPal (payment processing), Zoom (video session delivery and recording), Supabase (website hosting, database, and storage), Brevo (email communications), Google Calendar (scheduling, where connected), Google Drive or WhatsApp (secure file delivery where applicable). We share only the minimum information necessary with each platform to deliver our services.
8.2 Legal Requirements
We may disclose your personal information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Elemental Frequencies, our clients, or others.
8.3 Your Consent
We may share your information in any other circumstance with your prior explicit written consent.
9. Cross-Border Data Transfer
Some of our service providers, including Stripe, PayPal, and Zoom, are based outside of Canada. As a result, your personal information may be processed or stored in the United States or other jurisdictions. By using our services, you consent to this transfer, understanding that your information will remain protected in accordance with this Privacy Policy regardless of where it is processed.
10. Data Retention
We retain your personal information for as long as necessary to fulfil the purposes for which it was collected. Intake forms and session notes are retained indefinitely within our secure business systems to support continuity of care across sessions. Session recordings are retained indefinitely within our secure storage platform for your continued access, unless you request deletion. Payment records are retained for a minimum of seven years in accordance with Canadian tax and financial record-keeping requirements under the Income Tax Act. Email communications and website activity data are retained in accordance with our platform providers’ own data retention policies.
You have the right to request deletion of your personal information at any time by contacting us. We will action all deletion requests within 30 days, except where retention is required by law.
11. Data Security
We take the security of your personal information seriously and implement reasonable technical and organisational measures to protect it, including password-protected accounts and platforms, secure encrypted payment processing through Stripe and PayPal, restricted access to client records (accessible only to Jaleen Starratt), and secure file transfer for session recordings and audio deliverables.
While we take every reasonable precaution, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your information to the best of our ability.
12. Data Breach Notification
In the event of a data breach that creates a real risk of significant harm to you, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA, without unreasonable delay.
13. Your Rights
13.1 Canadian Residents (PIPEDA and PIPA)
The right to access the personal information we hold about you. The right to request correction of inaccurate or incomplete information. The right to withdraw consent to the collection or use of your information (subject to legal and contractual limitations). The right to request deletion of your personal information where it is no longer necessary for the purposes for which it was collected. The right to file a complaint with the Office of the Privacy Commissioner of Canada or the Alberta Office of the Information and Privacy Commissioner if you believe your privacy rights have been violated.
13.2 European Union Residents (GDPR)
In addition to the rights above, EU residents have the right to data portability (receive your personal data in a structured, commonly used format), restriction of processing in certain circumstances, the right to object to processing based on legitimate interests, and the right to lodge a complaint with your local data protection authority.

You may withdraw your consent and unsubscribe at any time by clicking the unsubscribe link in any marketing email, or contacting us directly. Withdrawal of consent for marketing communications does not affect communications necessary to deliver your booked services.
16. Public Content
Our website includes a blog with comment and reaction features. If you create a blog account and post comments or reactions, your chosen display name, profile picture, and posted content are publicly visible to any visitor of our website. This publicly visible information is not covered by the confidentiality protections described elsewhere in this policy, please do not include personal or sensitive information in any public comment.

Our website may contain links to third-party websites, platforms, or resources. We are not responsible for the privacy practices of any third-party sites. We encourage you to review the privacy policies of any external sites you visit.
